They solve different layers of the problem
WhatSync owns the data model between WhatsApp and Attio: contact matching, note formatting, continuous sync, number controls, historical context, and the user experience for sending or searching. Zapier gives you triggers and actions, then leaves the model to you.
That distinction matters more than the number of integrations. A Zap such as “new WhatsApp message → create or update Attio person” is easy to describe. A durable conversation sync also has to decide how to match phone formats, group messages, duplicate events, attachments, message direction, retries, and existing records.
Where Zapier is clearly better
Zapier is better when WhatsApp is one step in a wider business event. Its current WhatsApp Business app can trigger on new inbound messages and message-status updates, retrieve attachments, and send freeform, media, or template messages. Its Attio app can create or update records and list entries, while thousands of other apps can join the same workflow.
A paid Zapier plan and a registered WABA are required for the WhatsApp Business app. That is a good fit for an official business number and governed messaging. It is not a fit for a salesperson who simply wants to QR-link the WhatsApp account already on their phone.
- A deal-stage change should send an approved WhatsApp template
- A delivery failure should alert Slack and update Attio
- Inbound WhatsApp leads should pass through enrichment or routing tools
- Your operations team already maintains Zapier as shared infrastructure
Where WhatSync is clearly better
WhatSync is better when the output is not a single action but a usable customer history. It continuously places direct-conversation context on the matching Attio person and can create the person if needed. Max users can send from Attio and use an Attio-centred team inbox.
Its AI connection solves another retrieval problem: an eligible user can ask an MCP client to search or summarise synced message text they are already allowed to read. Zapier MCP is oriented toward calling actions across apps. These are complementary ideas, not identical features with different logos.
- Salespeople need the thread on the record without maintaining Zaps
- The team wants to connect an existing WhatsApp number by QR
- Attio should remain the everyday interface
- AI search should be read only and scoped to existing access
How the cost behaves
WhatSync charges per user: Pro is $15 monthly and Max is $25 monthly, with lower annual equivalents. Zapier Professional currently starts at $19.99 per month and unlocks premium apps, but the bill also depends on tasks and any higher collaboration tier you need. Official WABA messaging can add Meta charges in either stack when that connection is used.
For a low-volume two-step automation, Zapier may be the inexpensive answer. For every chat message flowing through several Zap steps, task consumption and maintenance become part of the comparison. Estimate one real week of message volume before choosing on headline price.
Using both can be the correct architecture
WhatSync can own the conversation timeline while Zapier handles exceptional business events. For example, WhatSync keeps every permitted message on the person record; Zapier sends an approved template when a deal reaches a defined stage or routes a high-value lead into another system.
Keep ownership clear. One system should write the canonical chat note, and automations should avoid creating a second competing history. That is less glamorous than adding another Zap and much more useful six months later.
Frequently asked questions
Can Zapier replace WhatSync?
Zapier can reproduce selected WhatsApp-to-Attio events, but a full replacement requires you to design and maintain contact matching, history formatting, deduplication, attachment handling, retries, and any inbox experience. That can be worthwhile for a custom workflow and unnecessary for a standard sync.
Does Zapier work with a personal WhatsApp number?
No. Zapier's current WhatsApp Business app requires a registered WhatsApp Business Account through Meta Business Manager. WhatSync offers a QR-linked path for an existing WhatsApp or WhatsApp Business app number.
Can Zapier receive WhatsApp messages?
Yes. Zapier's help guide updated in May 2026 lists New Message Received and New Message Status Updated triggers for its WhatsApp Business app. The connection requires a paid plan and a WABA.
Should I use WhatSync and Zapier together?
It can be a clean setup: use WhatSync for the ongoing Attio conversation record and Zapier for defined cross-app events. Avoid having both write duplicate versions of the same chat history.
