The quick answer

6 pm. The site group has 140 messages. The client wants today's report.

Everything you need is in that group: who turned up, what arrived, what went wrong. You just have to pull it out.

  • By hand: use the free template below and fill it from the group. Ten to twenty minutes.
  • With AI: link your WhatsApp with WhatSync and ask Claude, ChatGPT or any AI agent to write the report from the group. Two minutes, then you check it.

A daily site report template

Keep it to what the client, the office and your future self will need. Copy this and fill it in:

  • Project and date: site name, date, who wrote the report.
  • Weather: and whether it stopped any work.
  • On site: each trade or crew and how many people.
  • Work done today: by area or task, in one line each.
  • Deliveries: what arrived, what did not, and any shortages or damage.
  • Delays and issues: what happened, who is affected, what is being done.
  • Safety: incidents, near misses, toolbox talks.
  • Visitors and inspections: who came and what they said.
  • Plan for tomorrow: work, deliveries and inspections booked.
  • Photos: the ones that prove progress or show a problem.

Fill it in from the WhatsApp group by hand

  1. Open the site group and scroll back to this morning.
  2. Go through the template line by line. Search the group for words like "delivered", "late", "missing" and "broken" to find what matters fast.
  3. Save the photos you need from the group's media.
  4. Send the report to the client and post it back in the group, so everyone sees the same version.

Tip

Ask your foremen to start key messages with a word like DELIVERY, ISSUE or DONE. Searching the group becomes much faster.

Let your AI write it from the group

WhatSync links your WhatsApp to Claude, ChatGPT or any AI agent. Tick the site groups it can read, then ask for the report. The AI reads today's messages and fills in the template, with who said what and when.

“Write today's site report from the Riverside site group. Use these headings: on site, work done, deliveries, delays and issues, safety, plan for tomorrow. Say who reported each item and when.”

“List every delivery mentioned in the site groups today, with what arrived, what is missing and who said so.”

“What problems did the crew report this week that are still not sorted?”

Check before you send

The AI reads message text, captions and file names. It does not look inside photos or listen to voice notes, so add anything the crew only said in a voice note. Our free voice note to text tool turns those into text.

Keep a record you can find later

Disputes come months later: when did the steel arrive, who agreed the change? Keep each report, and keep the group.

For a dated copy of the whole group, export it and save it as a PDF with our free chat to PDF tool.

Questions

What should a daily site report include?
Date, weather, who was on site, work done, deliveries, delays and issues, safety, visitors and inspections, the plan for tomorrow, and photos.
Can ChatGPT write a site report from WhatsApp?
Yes. Export the group and upload it to ChatGPT, or link your WhatsApp with WhatSync so ChatGPT, Claude or any AI agent can read the site groups you choose and write the report whenever you ask.
Do I still need a site diary app?
If your crew already reports in WhatsApp, an AI that reads the group gives you the report without asking anyone to learn a new app. If you need forms, sign-offs or client portals, a site diary app adds those.
Can the AI read photos and voice notes from the group?
WhatSync gives your AI the message text, captions and file names, not what is inside photos or voice notes. Turn voice notes into text first with our free voice note tool.

Ask your AI about your WhatsApp

Add WhatSync to Claude, ChatGPT or any AI agent, link your WhatsApp, and pick the chats and groups it can read. Then just ask.
